Publisher requirements & AI permissions
The PDF route is available in Publication Intelligence. Confirm your title’s proof revision, index length, style, handoff format and AI permissions with production.
Bristol and Policy Press typically index from final or second proofs; Sage describes first proofs, and UCL leaves the stage to the production editor. Edward Elgar explicitly rejects Word’s embedded indexing function. Georgia allows preliminary manuscript preparation but requires conversion to the book’s page numbers; that is not embedded indexing.
Columbia restricts distribution of proof PDFs; provider processing needs permission. Hopkins and Minnesota emphasize human judgement when preparing an index.
A complete AI-policy audit has not been conducted for every publisher listed.
Word → Embedded index
Embedded manuscript indexing
Index entries stay attached to the text inside your Word document, so they follow the manuscript through pagination.

Publisher requirements & AI permissions
Cambridge describes Word or LaTeX indexing before submission. De Gruyter documents Word XE fields. Springer Nature’s guidance covers Apress and Palgrave Macmillan too. Goodfellow carries Word index markers into InDesign; Lived Places requests embedded Word entries.
PI’s Word application integration is in development; LaTeX import is unavailable. Confirm the technique and handoff rules for your title.
Cambridge requires IP-owner permission, confidentiality safeguards and declared AI use. Lived Places requires advance publisher approval and disclosure of author AI use. AI permissions for other listings still need confirmation.
Word or PDF
Manuscript or proof-page indexing
These publishers document both routes. Your production editor confirms which one applies to your book.
Publishers using these workflows
Use PDF proofs for a separate Word index today. Embedded Word manuscript indexing is in development.
Route guidelines & AI permissions
Brill and Wiley describe both approaches in their linked guides. For CRC Press, Routledge and Taylor & Francis, the links above cover the proof-page route; the manuscript guide below covers Word XE entries submitted with the original manuscript.
Brill’s official guide was verified through indexed text; Wiley’s accessible guide is on its official author-services mirror. Confirm the route and delivery rules with production. Taylor & Francis requires early editorial approval and disclosure of AI use; AI permissions for the other listings still require confirmation.
Confirm your title’s workflow
Working with one of these publishers? Ask your production editor which source and index format your book needs. Public author resources did not establish an indexing route; these links are author resources, not verified indexing guidelines.
